How do I migrate my LBC email contents to another email account?

When an Outlook app is installed on your computer, you can use it to move email, contacts, and calendar items from one email account to another.  You can use Outlook to export items from your Office 365 mailbox and import them into another account.  If you have used this account to register accounts with any third party companies, please do not forget to change the registered email address on those accounts.

You can export items by using a .pst file.  This Outlook Data File contains your messages and other Outlook items, and is saved to your computer.  You can export to a .pst file using these instructions:

 

  1. If you do not already have your LBC email account in an Outlook application (Outlook for Office 365, Outlook 2016 or Outlook 2013), first add your LBC account to an Outlook application on a PC.  Wait until the status message at the bottom of the program shows “All folders are up to date” to ensure all of your emails and contacts are available.
                                 


  2. Add your “destination” email account to Outlook.  This may be a Gmail account, Outlook.com account, Yahoo account, etc.   Wait until the status message at the bottom of the program shows “All folders are up to date” to ensure all of your emails and contacts are available.  **Please note that your non-LBC account may not sync through the Outlook program while on a LBC campus.

  1. At the top of your Outlook ribbon, choose File.

    If your ribbon doesn't have a File option in the top left corner, see What version of Outlook do I have? to determine your version of Outlook and find the appropriate export instructions.

This is what the ribbon looks like in Outlook 2016.

  1. Choose Open & Export > Import/Export.

                                             Choose Open & Export, and then choose Import/Export.

  1. Choose Export to a file.

                                             Choose Export to a file.

  1. Click Outlook Data File (.pst)> Next. 
  1. Select the name of the email account to export. Only information for one account can be exported at a time.

Make sure that the Include subfolders check box is selected. This ensures that everything in the account will be exported: Calendar, Contacts, and Inbox. Choose Next.

                                             

  1. Click Browse to select where to save the Outlook Data File (.pst). Enter a file name, and choose OK to continue.

Note: If you’ve used export before, the previous folder location and file name appear. Type a different file name before choosing OK.

  1. If you are exporting to an existing Outlook Data File (.pst), under Options, specify what to do when exporting items that already exist in the file.
  2. Choose Finish.
  3. Outlook begins the export immediately unless a new Outlook Data File (.pst) is created or a password-protected file is used.
    1. If you’re creating an Outlook Data File (.pst), an optional password can help protect the file. When the Create Outlook Data File dialog box appears, enter the password in the Password and Verify Password boxes, and choose OK. In the Outlook Data File Password dialog box, enter the password, and choose OK.
    2. If you’re exporting to an existing Outlook Data File (.pst) that is password protected, in the Outlook Data File Password dialog box, enter the password, then choose OK.

Now that your Outlook data is in a .pst file, it's portable.  You may import this file into any account in Outlook, or your email provider may have instructions to import a .pst file into their account using online access to your email account.  


If you have added the “destination” account to Outlook, you may import the .pst file into any email account contained in Outlook using the following instructions:

  1. At the top of your Outlook ribbon, select File.

  • 2.      Select Open & Export > Import/Export. This starts the Import/Export wizard.

                                             Choose Open & Export, and then choose Import/Export. 

  • 3.      Select Import from another program or file, and then click Next.

  • 4.      Select Outlook Data File (.pst) and click Next.
  • 5.      Browse to the .pst file you want to import. Under Options, choose how you want to deal with emails and contacts, then choose Next.

                                             

  • 6.      If a password was assigned to the Outlook Data File (.pst), enter the password, and then click OK.


 

 

  • 7.      If you're importing the contents of your .pst file into your Office 365 mailbox, choose that mailbox here.

If you're NOT importing into your Office 365 mailbox, choose Import items into the current folder. This imports the data into the folder currently selected.

             

  • 8.      Choose Finish. Outlook starts importing the contents of your .pst file immediately. When the progress box disappears, the import is finished.

If you're importing your .pst file to your Office 365 mailbox, you may see a message that it's trying to connect with Office 365. This happens when the Internet connection is interrupted, even for a moment. Once your Internet connection is re-established, Outlook will continue importing the .pst file.

Tip: If you want to retrieve only a few emails or contacts from an Outlook Data File (.pst), you can open the Outlook Data File, and then, in the navigation pane, drag and drop the emails and contacts from .pst file to your existing Outlook folders.


What data is imported?

.Pst files are created when you export or back up email, contacts, and calendar to an Outlook .pst file. Outlook makes a copy of your email to the .pst file.

  • When Outlook exports emails to a .pst file, it includes any attachments. So, when you import a .pst file, you'll see your attachments.
  • Outlook does not export meta-data such as folder properties ( views, permissions, and AutoArchive settings); message rules; and blocked senders lists. So, they won't be imported, either.
  • When Outlook exports email, contacts, and calendar info to a .pst, it makes a copy of the information. Nothing is deleted from Outlook. You'll still see and have access to your email, contacts, and calendar in Outlook.
